Your day in Lupa Tech¶
Move between days, read your stops, put them in the order you'll drive them, and book a visit from the Schedule tab.
What's on the schedule¶
Schedule shows one day: the visits booked to you, plus open work nobody holds yet (the open pool). Other technicians' visits are not shown.
Each stop shows:
- its position in the day, under the drag handle;
- the client's name and a status badge — Upcoming, Scheduled, Confirmed, On the way, In progress, Completed, Skipped, Declined or Missed;
- the start time, the expected length (~30 min), and the drive from the previous stop (15 min drive);
- the address, and the visit's own note if it has one.
Some stops carry an extra mark:
- future — the visit comes from a recurring schedule and hasn't been committed yet. See Claiming, confirming and turning down work.
- A padlock — a recurring visit with a client-committed arrival time. Hover over it to see the time.
- A red bell — the client's committed time has moved and they need telling. See When a committed time has moved.
- read-only — the day has passed. See Days that have passed.
On today's schedule a red Now line marks the current time, and your next stop is highlighted.
Move around the calendar¶
To change the day
- Choose the left or right arrow to step back or forward one day.
- Choose Today to return to the current day.
- Or pick a date in the date field.
The day and the number of visits on it show beside the controls.
Days that have passed¶
A day that has passed is read-only to a technician. Unfinished stops on it carry a read-only badge and read This day has passed — ask the office to correct it. You can't claim, confirm, decline or work visits on a past day. An uncommitted visit on a past day shows as Missed.
On My Way, Start, Skip and Complete appear only on today's schedule. Work dated another day has to be moved to today by the office first.
See the day on a map¶
To see your stops on a map, choose Map at the top of the schedule. The day's stops appear as numbered pins in schedule order, coloured by status and joined by a route line. Choose Schedule to go back to the list.
A stop whose address has no map position yet isn't pinned; a note above the map says how many stops are not yet mapped. Personal time has no address, so it is neither pinned nor counted.
Put the day in the order you'll drive it¶
To reorder your stops
- Open Schedule for the day.
- Drag a stop by its handle — the numbered strip on its left edge — and drop it where it belongs.
The stops change places, and each one takes the start time of the position it lands in. The day's start times stay where they were: if the day runs 09:00, 10:30 and 13:00 and you move the third stop to the front, it now starts at 09:00 and the other two take 10:30 and 13:00. A stop with a client-committed time keeps that time, and the other stops fill the remaining times.
The drive figure is not added in when you drag. If the new order means a longer drive, the start times don't stretch to absorb it.
The next time the day is opened, Lupa checks the new order. When the end of the previous stop plus the drive between them runs past a stop's start time, that stop is pushed later; nothing is pulled earlier. A stop without a committed time that can't start before a later committed time is moved to after that committed stop. Drive figures are re-estimated from the stop that now comes before. Saving a change to any visit on the day does the same. Completed and skipped stops are left at the times they have.
Dragging commits upcoming visits. Any future (uncommitted) visit of yours in the list is confirmed by a drag, as if you had chosen Confirm.
If a stop snaps back. The reorder was refused, and the schedule shows no message. A reorder is refused when:
- it would put two client-committed visits out of their committed order — a 14:00 commitment can't go before an 11:00 one;
- the day's list includes open-pool work. Claim it first, or ask the office to place it;
- the day has more than 200 stops.
Change a visit's length or note¶
To edit a visit
- Choose the visit's name or details on the schedule. Edit Visit opens.
- Change Est. Duration (min), Travel Time (min), or the note under About this visit only — access details belong on the property.
- Choose Save.
Lupa confirms with Visit saved. The property's standing instructions — gate codes, access directions — show underneath, read-only; to change them, edit the property — see Accounts and service locations in Lupa Tech. Skip and hand-back reasons are added to the end of the visit note.
Saving a future visit commits it. A future visit on a day that has passed can't be edited.
Book a visit¶
To book a visit
- On Schedule, choose Add Visit.
- Choose the Service location.
- Set the Date, Duration (min) (30 by default), Travel (min) (15 by default) and Scheduled time (09:00 by default).
- If the client asked for a set time, enter it in Client-requested time. It replaces the scheduled time.
- Optionally add a note about this visit. Access details belong on the property — its standing instructions show below the form once you choose the location.
- Choose Create.
A visit you book goes into the open pool, not onto your day. To take it, choose Claim on it — see Claiming, confirming and turning down work.
If nothing happens when you choose Create. Without a service location, Lupa says Select a service location for the visit. If you chose one and the form stays open, the visit wasn't created — most often because the address has no map position yet. Ask the office to check the address.
When a committed time has moved¶
A red bell beside a client's name means their committed arrival time has moved and they haven't been told.
To deal with it
- Choose the red bell. Client notification opens, showing the Client-committed time, the time it is Now scheduled, and how long ago it moved.
- Tell the client, then choose one:
- I've notified the client — you told them the new time.
- Client agreed to new time — the new time becomes their committed time.
Choose Show client notes to read the client's notes first. The visit's assigned technician or an admin can clear the bell.
Personal time¶
Personal time — lunch, a break, an errand — can't be added from Lupa Tech. Add it from the field app; see Booking work and blocking time from the phone. Blocks added there show on your Lupa Tech schedule with no address.
