Removing access¶
How to cut off somebody's access to your company at once, what happens to the work they were holding, and how to bring them back.
Only admins and owners can deactivate or reactivate people.
How it works. Deactivating a person ends their access in one action. Their account is locked, and every sign-in they hold — browser sessions, the field app, and any password-reset link they were sent — is revoked.
Deactivate somebody¶
To deactivate somebody
- Choose Team in the left rail and choose the person.
- Check the line under their name — for example Holds 3 upcoming visits.
- Choose Deactivate.
- Read the confirmation and confirm. It names the work that moves, for example Deactivate this team member? Their 3 upcoming visits return to the open pool for re-dispatch, and they lose access immediately.
What you'll see. Team member deactivated. 3 upcoming visits returned to the open pool. (or They held no upcoming visits.). Their entry on the roster now carries an Inactive badge, and their details show Deactivated with a Reactivate button.
On their side. The field app clears their sign-in and returns to the sign-in screen. If they try to sign in again, they are refused with the same message as a wrong password.
Your other technicians get a notification that reads, for example, Sam was deactivated; their work may need reassignment.
What happens to their work¶
Deactivating somebody hands back the work they were booked for, so none of it is left with a person who can no longer sign in:
- Visits dated today or later that are scheduled, confirmed or on the way go back to the open pool, unassigned, for you to re-dispatch. A visit already under way, and anything completed, skipped, cancelled, declined or missed, stays as it is. Personal time blocks on their schedule are not moved.
- Recurring schedules, active or paused, that had them as the default technician lose their default technician. Cancelled schedules are left as they are.
- Active routes that had them as the default technician lose their default technician, so the route's upcoming work lands in the open pool.
Only work booked to the person moves. Other technicians' visits at the same clients are untouched, and client assignments play no part.
To hand the released visits to somebody else, see Moving work between people.
If deactivation fails. The screen reads Could not deactivate this team member. Their work is unchanged and they still have access. Reassign or cancel their upcoming visits, then try again. Nothing has changed: they are still active and still hold their work.
Bring somebody back¶
To reactivate somebody
- Choose Team and choose the person marked Inactive.
- Choose Reactivate.
What you'll see. Team member reactivated. They sign in again with their existing password, on each device. Their client assignments are as they were.
⚠ Reactivating does not give their work back. The visits that went to the open pool stay there, and the schedules and routes keep no default technician, until you assign them again.
