Pricing your work

Pricing in the left rail sets the one pricing model your company uses to put a price on each visit.

Only admins and owners can change the pricing model: Pricing is part of Lupa Dash. Technicians can check a price for a customer but cannot change the model.

The three pricing models

Dog Size × Yard Size Grid prices only from a dog size and yard size that you enter in the calculator, which nothing on a scheduled visit supplies. Under this model every visit is created without a price.

Under Dogs × Cadence Matrix:

  • The number of dogs is the number of pets recorded at the visit's service location. A visit at a location with no pets recorded is created without a price.
  • A one-off visit uses the Ad-hoc column. A schedule that repeats weekly uses Weekly, every two weeks uses Biweekly, and every four weeks or monthly uses Monthly. A schedule that repeats every set number of days has no column, so its visits are created without a price.
  • You do not have to fill every cell. An empty cell shows, in grey italics, the price Lupa will work out from the cells you have filled: with only the 1 dog row set, each extra dog costs the 1 dog price again; with + each additional set, each extra dog adds that amount. A cell showing — has no price Lupa can work out: fill in the cell itself, or set both 1 dog and + each additional for that column.

Choose your pricing model

A new company has no model. Until one is saved, the Pricing page reads "Choose how you price your work. Until you do, visits are created without a price and have to be priced by hand."

  1. Choose Pricing in the left rail.
  2. Choose a model from Algorithm. The list starts on — Choose a pricing model —.
  3. Fill in the model's prices in the form below it:
  4. Flat Rate: Flat rate (per visit). This field is required; 0 is allowed, for a company that does not price visits one by one.
  5. Dogs × Cadence Matrix or Dog Size × Yard Size Grid: the price in each cell you use.
  6. Choose Save pricing.

Lupa confirms with "Pricing matrix saved." The top of the page then reads Currently using and the model's name, with its version number, when it was last updated and by whom.

Choosing a different model clears the form to that model's blank prices. Nothing is saved until you choose Save pricing; until then the form shows "Unsaved changes."

Lupa does not check that a table has any prices in it. A blank table saves and prices nothing, so fill in the cells your work uses before you save.

You can also choose the model in the Pricing step of the first-run setup wizard. Set up Dogs × Cadence Matrix here under Pricing.

Change your pricing model

Choose a different model under Algorithm, fill in its prices and choose Save pricing. Visits already scheduled keep the price they were given; the new model prices visits scheduled from then on.

If a banner says you're on a model that is deprecated, you can keep using it. If you switch to another model, you can't switch back.

If visits arrive without a price

Check, in order:

  1. Is a model saved? If the Pricing page still asks you to choose, no visit is priced.
  2. Is the model one that prices on its own? Under Dog Size × Yard Size Grid no visit is priced when it is scheduled.
  3. Are the prices filled in? Under Dogs × Cadence Matrix, a visit whose cell has no price, and no price Lupa can work out, is created without one. So is a visit at a location with no pets recorded.
  4. Does the location have its own price? A service location's Default unit price is used only under Flat Rate. Under the other models it is not read when a visit is scheduled.

Opening Calculate price on a customer before any model has been saved puts your company on Dog Size × Yard Size Grid with a blank grid. If that happens, choose the model you want under Pricing and save it.
