Inviting people

How to add somebody to your company by sending them an invite, and how to resend or cancel one they haven't used.

Only admins and owners can invite people.

How it works. There is no public sign-up. You create an invite for an email address and a role; Lupa emails that address a one-time link. The person opens the link, sets their own name and password, and joins your company with the role you chose. You never see or set their password. An invite link works once and expires after seven days.


Invite somebody

To invite somebody

  1. Choose Team in the left rail.
  2. Choose + (Invite team member) at the top of the list.
  3. Under Invite a team member, enter their Email.
  4. Choose a Role — Technician (the default) or Admin.
  5. Choose Create invite.

What you'll see. Invite created. Copy the URL now — it's not retrievable later. and the invite under Pending invites at the bottom of the list. Lupa has already emailed the invite, with the subject line Lupa invitation; you do not need to pass the link on yourself, whatever the message and the note under the form say about copying it.

If you want to send the link another way. For as long as you stay on the page, the pending invite shows its link with a copy button (Copy URL) beside it. Copy it and send it by text or chat. Once you leave or reload the page the link can no longer be shown — the row reads URL not retrievable on this device. Choose Resend to get a fresh one.

If you choose Cancel. Nothing is created or sent.

If the invite is refused. A message starting Could not create invite: names the problem — usually an email address that isn't valid.

You can also invite people from the Team step of the first-run setup wizard; the wizard's Invite button works the same way.


Resend an invite

The person never got the email, or lost it.

To resend an invite

  1. Choose Team.
  2. Under Pending invites, choose Resend on their invite.

Resend appears once the invite's link is no longer on screen — after you leave or reload the page. While the link is still showing, copy it instead.

What you'll see. Invite resent. The fresh URL is now available to copy. The new link is shown on the row with its copy button until you leave the page. Lupa emails a new link, and the invite's seven days start again. The earlier link stops working, so tell them to use the newest email.


Cancel an invite

You invited the wrong address, or the person is no longer joining.

To cancel an invite

  1. Choose Team.
  2. Under Pending invites, choose Revoke on the invite.
  3. Confirm.

What you'll see. Invite revoked. The URL can no longer be accepted. The invite disappears from the list. Anyone who opens the link sees This invite is invalid or has expired.

If the invite was already accepted. It can't be revoked — the person is on the team. To end their access, deactivate them — see Removing access.


Invite the same person again

Creating a new invite for an email address that already has a pending invite replaces the older one: the older link stops working and only the newest invite is listed.

An invite that has passed its seven days drops out of Pending invites. To try again, create a new invite for the same address.

Invites are for people who are not yet on your team. To bring back somebody who has been deactivated, use Reactivate — see Removing access.


What the person you invite does

They open the link in the email, enter Your name and a Password of at least 12 characters, and choose Accept invite. They are signed in straight away: a technician lands in Lupa Tech, an admin in Lupa Dash (or the setup wizard if your company isn't fully set up yet). See Joining a company you were invited to.

If the address already has a Lupa account elsewhere. An email address can belong to one Lupa company only. If the address you invited is already signed up with another company, the person sees email has already been taken when they accept, and does not join. Revoke that invite and invite a different address.
