The field app¶
A tour of the Lupa field app for Android: the tabs, what each one holds, and how to sign out.
The field app carries a technician's day on the phone: the agenda, the open pool, the client book and messages. Admins who use it also get invoices. To install it, see Getting the app. On an iPhone, use Lupa Tech in the browser instead — see Lupa Tech in a browser.
Find your way around¶
The tabs run along the bottom of the screen.
| Tab | What it is |
|---|---|
| Agenda | Your own visits for the day, in the order you'll do them. The bell at the top right opens your notifications. See Working the day on the phone. |
| Open Pool | Today's unassigned work, which anyone can claim. See Taking and handing back work. |
| Clients | The client book: contact details, properties, pets and messages. |
| Invoices | The invoice list, for admins. Invoices are office work: a technician's day runs from Agenda, Open Pool and Clients. See Invoices and repeats on the phone. |
| Settings | Location sharing, your account, and sign out. Admins also get the message inbox here. |
At the top of Agenda, three counts sum up the day: Done, Active (on the way or on site) and Left (not yet completed, skipped, declined, cancelled or missed).
Add a client from the phone¶
To add a client
- Open Clients and tap the + button.
- Fill in Name, and as much of Phone, Email, Address and About this person as you have. Address suggests matching addresses as you type.
- Tap Create Client.
If the name, phone or email matches a client already on file, the app warns you with Possible duplicate: tap Create anyway to add the new client, or — when there is a single match — Open existing to go to that client instead. A phone number that already belongs to another client is refused with Already on file.
To record a gate code or other access instructions, open the client and use Add or Edit beside the property under Properties. These instructions belong to the property and appear on every visit there — see Working the day on the phone.
Edit a client from the phone¶
Technicians and admins can both change a client's details from the app.
To edit a client's contact details
- Open Clients and tap the client.
- Tap Edit beside the client's name. Edit Client opens.
- Change Name, Phone, Email, Address or About this person. About this person is for notes about the person; access details such as a gate code belong on the property, under Properties.
- Tap Save, or Cancel to leave the client unchanged.
If the client has more than one property. Address can't be changed here; the screen says "This account has N properties. Edit each one in Properties below." Ask the office to change a property's address.
If it says "Missing name". Every client needs a name. Type one and tap Save again.
If it says "You already have a client with this phone number." Another client already has that phone number. Check whether they are the same person before changing anything else.
Manage a client's pets¶
The Pets card on the client's screen lists each pet with its breed and notes.
To add a pet
- Open the client and tap Add on the Pets card.
- Fill in Pet name, Breed and About this pet. A pet needs at least a name or a breed; with neither, the app says "Enter at least a name or a breed."
- Tap Save, or Cancel to discard it.
Adding a pet from the phone works for a client with a single property. For a client with several properties, the pet belongs to one of the addresses; add it from Lupa on the web — see Pets and site details.
To change a pet, tap the pen icon beside it, edit the details and tap Save.
To remove a pet, tap the trash icon beside it. The app asks "Remove name?"; tap Remove to confirm, or Cancel.
See off-boarded clients¶
Off-boarded clients are hidden from the Clients list until you ask for them.
To show them, tap Show off-boarded at the top of Clients. They join the list with an Inactive tag. Tap Hide off-boarded to hide them again.
The count at the top of the list (for example, 12 clients) covers the clients being shown, so it goes up when off-boarded clients are shown.
Sign out¶
To sign out
- Open Settings.
- Under Account, check the name, email and company shown — on a shared phone this is whose session you are ending.
- Tap Sign out, then Sign out again to confirm.
What you'll see. The sign-in screen. Signing out ends this phone's session at Lupa, stops the phone reporting your location, and deletes the copy of your day the app keeps for use without signal. A password your phone's password manager saved is left in place, so it can offer it again next time.
If you sign out with no signal. The phone is still cleared, but Lupa could not be told to end the session. To be sure a lost or handed-on phone can no longer reach your company's data, ask an admin to deactivate the account — see Removing access.
If the app drops you to the sign-in screen by itself. Your session was ended from the office — for example, your account was deactivated. Ask your admin.
If the app shows "Your trial has ended" or "Your trial ended on" a date. Your company's trial is over. See When Lupa asks you to choose a plan.
