Voiding an invoice

How to cancel an invoice that should not stand, and what to do about a debt you will not collect.

Only admins can void invoices. A void cannot be undone.

Void an invoice in Lupa Dash

Void appears on an invoice that is draft or sent.

To void an invoice:

  1. Open the invoice in Billing and choose Void. The dialog Void this invoice? opens.
  2. Decide whether to tick Release visits for re-invoicing:
    • Ticked: the visits on this invoice can be billed again. The next rollup for the account picks them up.
    • Left clear: the visits stay billed by this voided invoice, and no later invoice picks them up.
  3. Choose Void.

Lupa shows Invoice voided; visits released for re-invoicing. or Invoice voided; visits remain billed. The invoice's status changes to void, and it appears under the Void filter.

To correct an invoice that has already been sent, void it with Release visits for re-invoicing ticked, then roll the account up again or create a new invoice.

If the invoice has an online pay link. Voiding in Lupa Dash also voids the invoice in QuickBooks, so the link can no longer take money.

If Lupa says QuickBooks is disconnected. The message reads This invoice has a live online payment link and QuickBooks is disconnected. Lupa does not void the invoice, because the link would stay payable. Contact Lupa to reconnect QuickBooks, then void it. See QuickBooks.

If the invoice has turned overdue

Void does not appear in Lupa Dash on an overdue invoice. You can void it from the field app instead.

Void an invoice on the phone

To void an invoice in the field app:

  1. Open the invoice from the Invoices tab.
  2. Tap Void. This works on a draft, sent or overdue invoice.
  3. Confirm Void this invoice?.

The phone cannot release the visits. They stay billed by the voided invoice and will not appear on a later invoice. If the work still needs billing, void the invoice in Lupa Dash with Release visits for re-invoicing ticked.

If the invoice has an online pay link. Void it from Billing in Lupa Dash while the invoice is sent. For an overdue invoice with a pay link, void it in QuickBooks as well as on the phone.

Writing off a debt

Lupa has no write-off action. If you decide not to collect a legitimate invoice, write it off in QuickBooks or your accounting system. In Lupa, either leave the invoice as it is or void it. Voiding records the invoice as cancelled rather than as a debt written off.
