Recurring schedules¶
Book work that repeats once, and let Lupa put each visit on the board as its date comes round.
A recurring schedule is a rule — this location, every other Tuesday, this technician. Schedules live under Recurring in the Lupa Dash left rail, on the Recurring Schedules page. Only admins create and change schedules; a technician's phone does not offer it.
A schedule belongs to a service location, not to a customer. An account with three sites on three different rhythms has three schedules, and one location can have several.

Set up a repeating visit¶
To create a schedule:
- Open Recurring and choose Add Schedule.
- In Service location, pick the address. Type in the filter box to narrow a long list.
- Choose a Cadence: One-off, Weekly, Biweekly, Every 4 weeks (drifts), Monthly by numbered weekday, Monthly by day of month or Custom (every N days).
- Fill in what the cadence asks for:
- Weekly, Biweekly and Every 4 weeks — pick one or more Days of Week.
- Monthly by numbered weekday — a Monthly anchor of 1st, 2nd, 3rd, 4th or Last, and a weekday.
- Monthly by day of month — a Day of month from 1 to 30, or Last day of month.
- Custom (every N days) — Every N days.
- Set the Start Date. It starts as today — see the warning below before changing it to an earlier date.
- Pick a Default Tech, or leave Open pool (any tech) so any technician can claim each visit. If the location belongs to a route, the route's technician takes the schedule's visits instead — see Routes.
- If you promised the customer a time, fill in Client-requested time (optional). Every visit the schedule produces carries it — see Visit length and arrival times.
- Choose Create Schedule.
The schedule appears as a card showing the client and location, the rule (for
example Biweekly on Tuesday, from 2026-10-06), the Tech, and after
Next: up to three dates it will produce in the coming four weeks. Its
visits appear on the dispatch board on their dates. There is no generate step, and from then on each visit can be moved,
reassigned, skipped or completed on its own.
Start new schedules today or later. A start date in the past fills in the past. Each night Lupa checks active schedules for dates that went by with no visit. On a new schedule dated in the past, every date the rule produces between the start date and yesterday — up to 30 days back — is recorded as a missed visit. The misses are gathered into one catch-up visit at the location — or added to a visit already open there — and every admin gets a missed-visits alarm. To record work that already happened, book those visits individually instead.
If the cadence's fields change as you pick. They are meant to. Each cadence asks only for what it needs.
If you chose Every 4 weeks (drifts). Every four weeks and monthly are not the same rhythm. Every four weeks drifts across the calendar month; if the customer expects "the first Tuesday", choose Monthly by numbered weekday.
If Create Schedule is refused.

If the address you want is not in the list. A location whose lead client is archived is not offered. See Archiving, removing and deleting.
On the phone¶
An admin can add and manage a customer's schedules from the customer's screen in the phone app: Add Recurring when they have none, Edit Recurring when they have one, and Manage Recurring when they have several. The phone offers Weekly, Biweekly and Every 4 wks with days of the week, a Start date, and an End date (optional) after which the schedule produces nothing. Schedules on the other cadences are edited on the web; the phone can still pause, resume or cancel them.
